OUR TRADING TERMS ……

UGANDA EXPERIENCE is a small personal business owned and operated by Malcolm Rankin and based upon his 25 years of extensive travelling experience within Uganda. It operates under UK law and the EEC Code of Practice for small Tour Operators - both for the sake of our reputation and for your protection and peace of mind. The name ‘Uganda Experience’ is a registered trademark in UK. The name ‘Uganda Experience Safaris’ is the name of our sister company registered in Kampala with the
Uganda Investment Authority.

1) PAYMENTS: All payments by you to UGANDA EXPERIENCE are retained in a dedicated holding account until after your tour has been completed. They cannot be drawn upon or used until this time. This is a condition of the EEC Code of Practice for Small Tour Operators. This account, UGANDA EXPERIENCE Clients' Account, is held at Barclays Bank Plc, High Street, Worcester WR1 2QQ: telephone 01905 23433. Once you have instructed us to proceed with your safari we shall invoice you for a deposit of £200.00 per person which is payable immediately. The full balance of your safari will become payable 8 weeks before departure. If your booking is less than 8 weeks before departure then the whole balance is payable in full. UGANDA EXPERIENCE does not deal in air tickets but we can give experienced advice concerning air travel to, from and within Uganda.

2) CANCELLATION: If, for any reason, you wish to cancel your booking a cancellation charge will be made as below since we have to make payments to hotels, vehicle suppliers etc. before a tour commences. Cancellation must be in writing.

After payment of deposit & up to 46 days before departure:
a flat sum of £100.00 to cover administration/booking costs plus any advance booking costs incurred which cannot be recovered by UGANDA EXPERIENCE…..e.g tracking permits.

  • 45 - 35 days before departure: 25% of total tour cost.
  • 34 - 21 days before departure: 50% of total tour cost
  • 20 - 05 days before departure: 75% of total tour cost.
  • 04 - 00 days before departure: 100% of total tour cost

3) SURCHARGES: All Ugandan hotels/lodges etc. use the US Dollar as their international currency. The cost of your safari is based upon the pound sterling/US dollar exchange rate and the time of your definite booking.. Action by Governments, hotels/lodges, and/or currency fluctuations may increase the final cost of your tour. If this happens we will absorb increases amounting to 2% equivalent of the tour cost. Only amounts in excess of this 2% will be surcharged. If a surcharge means that you have to pay more that 10% of the tour cost you will be entitled to cancel your booking and receive a full refund of all monies paid except for a deduction of £100.00 p.p. to cover administration plus any non-recoverable advance booking costs. If you decide to cancel for this reason you must exercise your right to do so, in writing within 14 days from the issue date on the invoice. No surcharges will be made within 30 days of tour departure date.

4) DELAYS & PROBLEMS: We aim to deal quickly with any potential problem. It is, however, always possible that services provided by another party (e.g. transport - air, vehicle, boat - accommodation, Uganda Wildlife Authority etc.) may fail or not be of a satisfactory standard. Whilst we cannot accept responsibility for another party's actions we will always do all we can to alleviate their effects and minimise any inconvenience.

Delays by airlines: It is an airline's responsibility to make necessary alternative arrangements in the event of a delay. We will always do anything we can to help in such a situation. Make sure that you have a holiday insurance policy which covers airport delays.

Transport and Hotels: We make every effort to ensure as much comfort as possible but the visitor to Uganda must be aware that services may very widely in quality and availability and be prepared to accept this. Uganda is working hard to restore its former glory but occasionally water and power supplies can be erratic. Remember that this is Africa and that rural roads are often not made of tarmac. Occasionally re-routing is necessary and we reserve the right to amend an itinerary at any time in order to provide you with the safest, and most enjoyable, safari possible.

A UGANDA EXPERIENCE tour is a travelling adventure - it is not for those who want routine predictability and everything to be 'just so'. Neither is it for those who are not prepared to have understanding and patience for another culture's way of life.

Repatriation: In the event of a civil emergency UGANDA EXPERIENCE would undertake to arrange the safest and speediest means of withdrawal to an international airport.

UGANDA EXPERIENCE cannot accept responsibility for any death, injury or illness of a tour member whilst on tour. Neither can we accept liability for any loss, damage or effect caused by wars, revolutions, terrorist action, riots, civil disturbances, strikes, industrial disputes, storms floods, failure of public services, mechanical breakdown or by any other occurrence quantifiable as force majeure.
